The nature of communication can be explained by the following headings

Communication is an innate, natural or natural quality. Communication is an art of birth, death, breathing, etc. or living itself. It is only verbal communication that makes human beings different and important or paramount from other creatures of the world. Communication is an innate quality, but it cannot be complete without a scientific basis. Speaking, listening, writing or reading proficiency is essential for effective communication.

In communication, along with systematic and systematic knowledge, artistic expression is also necessary. (6) Communication is the basis of motivation

In the present time, communication or messaging can be called the basis of motivation, because through this action the employees of the organization are motivated to do the best work.

Meaning of Feedback

Feedback is an extrapolated message that is given by the recipient of the message to the sender. When a message is transmitted by the communicator to the receiver, the communicator wants a response to that transmitted message. When the recipient of the message understands the message well, then he expresses his reaction to the message. The nature of this reaction can be unfavourable or favorable. This response is called feedback. Feedback provides a guideline by which the communicator can communicate his message more effectively.

It is clear that feedback confirms the exchange of information and understanding between the communicator and the receiver because when a message is transmitted by the communicator to the recipient, the recipient tries to understand it. It is also possible that he may or may not give his response with respect to the received message. But here it would be appropriate to understand that the recipient has confirmed the correct understanding of the message.

                    Feedback Process

In a communication process, the message conveyed can be said to be effective only if there is a provision for feedback in it. Feedback will be present in the communication process only if the recipient of the message gives a response to the message of the communicator. Therefore, feedback is a measure of the effectiveness of a communication, which is used for evaluating and reviewing the message conveyed, and according to the corresponding feedback, modifications are made in it to make the message effective. In a communication process, it is very important for the communicator to know how a recipient reacts to the message by understanding the message. Analysis of this process is possible only through feedback.

We can understand this in 3 steps.

Receiver/Decoder

The one to whom the message is being sent is called 'Receiver' / 'Decoder'. Receiver is the person who receives the message sent by the sender. It can also be a computer, workstation, telephone handset, television.

Protocol

Protocol is a set of rules that govern data communication. It represents an agreement between communication devices. Without the protocol, two devices can be connected but cannot communicate, just as a person who understands Telugu will not understand the Hindi language. And he will be able to answer correctly.

Types of Communication

Just as there is one way, two way on the road. In the same way there are modes of communication channel. There are three types of communication channels: Simplex, Half Duplex and Full Duplex.

1. Lower Level Communication

When information flows from persons holding higher positions to lower levels, it is called 'Lower Level Communication'. Due to the downward flow of communication, it is also called 'downward communication'. It is usually expressed through oral or written orders, reports, manuals etc. and is most common in all business organisations.

In an organisation, people at the lower level have a mixed sense of loyalty, trust, respect and sometimes fear and obedience to the people at higher levels. This leads to a high degree of acceptance of communication.

In lower level communication there is a possibility of distortion of information through gossip or 'grape' communication. In this case the ultimate purpose of communication is lost. Therefore, care should be taken to send information, messages or orders and receive response without any loss, alteration or distortion of information.

2. Upper Level Communication

When communication moves from subordinates to superiors, it is called 'upper level communication'. The means of upper level communication include submission of reports and suggestions, opinions and views, complaints and grievances etc.

Upper level employees can understand the pulse of lower level employees through such communication. But, it is less common as it is less preferred by top managers due to its troublesome and bad nature.

The effectiveness of such communication depends upon good superior subordinate relations and the intent of the superiors to address grievances and respect the feelings of the subordinates. Subordinates should also be cooperative and avoid complaining about unnecessary criticism, faulty attitudes, fake or baseless complaints, etc.

3. Horizontal or Side-Wise or Lateral Communication

'Horizontal or side issue or lateral communication' occurs between people of the same level in the status hierarchy of the organization through the oral or written method. Communication between employees or supervisors or managers in the same department or another department are examples of horizontal or lateral communication. It helps in promoting understanding and coordination in the organisation. This is especially important in a large or decentralized organization.

Importance of Business Communication:

The importance of professional communication is increasing very fast day by day. Today's business world cannot run smoothly without the help of communication. It makes a business enterprise dynamic and increases its efficiency. It is considered the driving force that leads to industrial harmony.

It can be used as a tool to control business activities to ensure the achievement of organizational goals. According to Keith Davis, the role of communication in business is as essential as blood vessels or arteries in the human body. In its absence, a business organization would cease to exist.

Business communication has an important role in management which aims to direct individual efforts towards overall coordination of organizational activities. It acts actively in the organization by transmitting information, facts and ideas and thus enables coordinated efforts. Communication, as such, can be considered basic to the functioning of an organisation.

Theo Hyman has rightly said that the success of management activities depends, to a large extent, on a good communication system. Communication creates conducive work environment, motivates workers to work hard and thus, management activities become easier. Through communication process it is possible to supply all necessary and important messages or information at all levels of the organisation.

Business communication promotes managerial efficiency and motivates the human elements in an organization to develop a sense of collaboration which ultimately leads to peak performance. The process of leadership depends on effective communication.

A sound communication system is an essential requirement of a good labor-management relationship.

With the help of communication there is a better understanding of the objectives and policies that encourage coordination. The increasing importance of human relationships with customers and workers in every business has made communication the lifeline of business. Producers need to appeal to their customers for sales.

Subordinates need to communicate their grievances and grievances to their superior, otherwise they may lead to conflict. Proper communication helps in implementing decisions effectively and leads to smooth running of business. It creates mutual trust and confidence and boosts the morale of the employees and thus, provides them job satisfaction.

Business communication is all the more important in management because the success of an enterprise depends on how effectively its employees understand each other. Most of the problems in business can be attributed to poor communication between managers and workers.

So, lack of communication or poor communication will affect a business in different ways. This will greatly affect the understanding of the employees, put them in complete confusion, create apathy towards their work, hinder their willing cooperation, throw the coordination out of gear and lead to disorder, chaos and conflict in all business matters. And, eventually the very existence of the business will be at stake.

The importance of effective communication in management has been widely recognized in recent years. It has become one of the most important factors in the efficient performance of management and company. It has made a significant contribution to management matters from different perspectives.
